Someone buys a sweater from you on November 20 as a gift. The recipient opens it on December 25, tries it on, and it is the wrong size. Your return window is 30 days from delivery. It closed on Christmas Eve. Now a stranger is in your DMs, the buyer is annoyed, and your first post of the new year is an apology.

A holiday return policy is a timing fix for that gap between purchase and unwrapping. For a Shopify store, it lives in three places that do not talk to each other: the return rules in your admin, the written policy at checkout, and the marketplace rules on TikTok Shop. Returns are not a rounding error in Q4. The Set-State-Show-Settle framework

Set-State-Show-Settle fixes the admin first, then the words, then the posts, then the January handoff. Do not post about extended returns until Set and State are both saved and you have tested a return request on a real order.

Phase 1: Set

Goal: configure the return rules Shopify actually enforces, on a date that covers your first gift orders.

Return and cancellation rules live in Settings, then Policies, under Return and cancellation rules. Shopify applies them to an order automatically when the customer places it, and customers can submit requests only for items that are eligible under those rules (Shopify Help). That one sentence sets your calendar. Change the rule on November 1 and every order from November 1 onward carries the longer window. Change it on December 20 and the November orders keep the old one.

Set checklist:

  1. Pick the window. Shopify offers 14 days, 30 days, 90 days, unlimited, or a custom number of days (Shopify Help). For a holiday exception, a 90-day window turned on in early November covers most gifts opened at the end of December. A custom count lets you land closer to a fixed January date.
  2. Pick the start. The window can start from each item’s delivery or from delivery of the last item in the order. If the delivery date is missing, Shopify starts from fulfillment and adds a transit buffer (Shopify Help). Gift orders often ship in parts, so last-item delivery is the friendlier choice.
  3. Tick the weekend box. Select the option to extend the window when its last day lands on a weekend or holiday, and it rolls to the next business day (Shopify Help). Christmas 2026 is a Friday and New Year’s Day 2027 is also a Friday, so windows will land on holidays.
  4. Decide return shipping. Offer free return shipping, charge a flat fee once per return, or have the customer buy their own label (Shopify Help). Whatever you choose is what you will post in Show, so choose something you can afford for 17% of December.
  5. Set the restocking fee honestly. It is a percentage, it is displayed when a customer requests a return, and Shopify does not deduct it automatically. You subtract return fees by hand when you create the refund (Shopify Help). If you would not say the percentage in a caption, do not charge it in December.
  6. Mark final sale items. Add specific products or specific collections, not both. Bundles cannot be set as final sale (Shopify Help). If a bundle is your hero gift, plan for its components to come back individually.
  7. Add a market rule if you sell to the EU. Set a window of at least 14 days that starts from delivery of the last item, turn on cancellation requests until the item is fulfilled, and use a market-specific rule if the rest of the world gets something different. Shopify ties this to EU Directive 2023/2673, in effect since June 19, 2026 (Shopify Help; Shopify Help).
  8. Turn on self-serve returns. In Settings, then Customer accounts, turn on Self-serve returns and cancellations and choose whether customers can request returns, cancellations, or both. It does not work with legacy customer accounts, and exchanges cannot be requested by the customer (Shopify Help).
  9. Put the date in your own calendar. Add the switch-on date and the switch-back date to your content calendar next to the posts that will mention them. The rule and the caption change on the same morning.

Two facts about what customers see. The Shop app can display your return window beside shipping details on a product page, but only if the window is configured in Policies; a policy written as free text alone does not display (Shopify Help). And customers sign in to request a return with an email address and a six-digit code, no password, from the order status page (Shopify Help). Place one test order, deliver it, and request a return yourself before you announce anything.

Phase 2: State

Goal: write the policy customers read, make it match the rules, and cover the marketplaces your Shopify rules do not reach.

The written return and refund policy also lives in Settings, then Policies, under Written policies. You can paste your own or insert Shopify’s template, which is available in English only, and Shopify is explicit that the generated policy does not automatically include the return rules you set up (Shopify Help). Once saved, the policy is linked in your checkout footer, and Shopify suggests adding it to your store menu too (Shopify Help).

State checklist:

  1. Write the holiday exception as one sentence with three dates. Which order dates qualify, when the window ends, and when normal rules resume. Shopify’s example format is orders placed between November 1 and December 24 returnable through January 31 (Shopify). Match those dates to the rule you set in Phase 1.
  2. Cover the five things New York asks for. New York General Business Law 218-a requires online retailers to display the refund policy near the item or by a link before asking for billing information, and to state whether refunds apply to sale or as-is merchandise, what happens without proof of purchase, any time limit, cash versus store credit, and any fee including a restocking fee and its amount (New York State Senate). Even if you are not in New York, that list is a good policy outline.
  3. Check the California trigger. California Civil Code 1723 requires a retailer to conspicuously display its policy, including on order forms, when the policy does not give a full refund or equal exchange for at least seven days after purchase, and a buyer can return goods for a full refund within 30 days if the policy was not displayed (California Legislative Information). Restocking fees and store-credit-only policies are the usual triggers. Ask a lawyer about the states and countries you ship to.
  4. Link the request path. Copy the customer accounts URL from Settings, then Customer accounts, and hyperlink it inside the refund policy, a returns page, or a footer menu item named Returns or Request a return (Shopify Help). Shopify provides sample step-by-step instructions you can paste and adjust.
  5. Say what gift recipients can do. Self-serve requests come from the buyer’s account, and refunds go back to the buyer. If you want a recipient to exchange without involving the giver, say how: a DM with the order number, an email, or a form. Point them to the comments and DMs playbook reply, not to a guess.
  6. Write the TikTok Shop line separately. TikTok Shop US gives customers a default 30 calendar days from the Delivered date to request a return, auto-approves requests for returnable products, and expects sellers to respond within four business days. Only select sellers can adjust the window to 14, 30, 45, or 90 days, and TikTok says seller-configured windows may be temporarily overridden during holiday periods, with at least seven days’ notice in Seller Center (TikTok Shop Academy; TikTok Shop Academy). Your written policy should say that TikTok Shop orders follow TikTok Shop’s policy, and your TikTok Shop setup already requires a return policy page to exist.
  7. Do not write a Meta exception. As of September 2025, Shops on Facebook and Instagram use website checkout, and Meta says you can no longer manage returns in Commerce Manager; returns are handled on your own website or connected platform (Meta Business Help). Orders from your Meta catalog follow your Shopify rules and written policy.
  8. Customize the three emails. Return request confirmation, approved, and declined notifications are editable under Settings, then Notifications, then Returns (Shopify Help). Put the same deadline and the same tone in them that you will use on social.

Phase 3: Show

Goal: put the three lines a gift buyer needs where they are already looking, without pasting the whole policy into a caption.

Gift buyers do not read policy pages before they tap. They read the caption, the pinned comment, and the Story Highlight. Show gives them the deadline, the shipping answer, and the path, then links to the page that governs the order.

  1. Build a Returns Highlight. Three frames: the holiday deadline as a date, who pays return shipping, and a screenshot of the sign-in step with the customer accounts link. Pin it next to Shipping in your Stories Highlights from the day the rule switches on.
  2. Write one caption line and reuse it. Something like “Gifts ordered by Dec 24 can be returned or exchanged through Jan 31.” Add it to every gift guide post, every early access drop, and the BFCM captions. Same words, same dates, every time.
  3. Save the reply. Wherever you answer comments and DMs, whether that is Meta Business Suite saved replies or your inbox tool, store the three lines plus the policy link. Use it for “can she exchange it?” and “what if it doesn’t fit?” comments, then move sizing questions private with the DM script.
  4. Post the gift-receipt path. If your buyer wants the recipient to handle the return, tell them how to share the order number or use a gift note. This is a Story with a sticker question, not a policy paragraph.

  6. Point the gift card option. If the size or color risk is high, a gift card is the return you never have to process. Say so once, late in the season.

What not to show: the restocking percentage in a Reel caption you will regret, a TikTok Shop window you have not confirmed in Seller Center, or “free returns” when only exchanges are free.

Phase 4: Settle

Goal: process January returns fast, turn as many as possible into exchanges, and reuse what you learn.

Self-serve returns send you a notification for each request, and you approve or decline it in the admin. When you approve, you can add exchange items, add shipping instructions, and attach a return label, and the customer receives the approved email with those details (Shopify Help; Shopify Help). Customers cannot request an exchange themselves, so the exchange happens at your approval step.

Settle checklist:

  1. Set a response clock. TikTok Shop expects a review within four business days and may auto-approve after that (TikTok Shop Academy). Match that on your own store, and say so in the confirmation email.
  2. Offer the exchange first. Return reasons in self-serve requests vary by product category, and apparel shows options like Too big or Too small (Shopify Help). A size reason is an exchange waiting to happen. Add the right size when you approve.
  3. Deduct fees by hand. Restocking and return shipping fees are shown to the customer but not subtracted for you; you deduct them when creating the refund (Shopify Help). Build it into the packing-table routine.
  4. Use the store if you have one. With a retail location, Shop app buyers can return in person when you turn the option on in the Shop channel settings (Shopify Help). Post it the way you post local pickup.
  5. Tally by reason. Export January returns and sort by reason and product. Three “runs small” returns on one sweater is a product-page fix and a Story frame, not a policy problem.
  6. Feed the fixes back. Add the sizing note to the product page, the caption, and the saved reply. The social customer service loop exists so this question is not asked again next December.

Returns are the back half of every other Q4 plan.

With the BFCM plan. The Seed-Stack-Sprint-Softland calendar already puts return windows in captions. Set gives that caption a rule behind it, and Softland week is when Settle begins.

Mistakes that turn returns into refunds

Changing the rule after the orders are in. Rules attach when the order is placed (Shopify Help). A December change does not rescue November gifts; you will be honoring them by hand.

Updating the rule but not the words. The written policy does not pull in your rules (Shopify Help). The customer reads the old date at checkout and screenshots it.

Promising a TikTok Shop window you do not control. Only select sellers can adjust it, and TikTok may override it during holiday periods (TikTok Shop Academy).

Forgetting the fee is manual. Shopify shows the restocking fee to the customer and leaves the subtraction to you (Shopify Help).

Hiding a restrictive policy. New York and California both spell out where and how a policy must be displayed, and both give the buyer a refund right when it is not (New York State Senate; California Legislative Information).

Leaving self-serve off. Without it, every January return starts as a DM you have to read, answer, and process by hand.
