Asset Library Best Practices

You’ll learn how to organize your Asset Library to find the right image, video, or file in seconds using the Library view.

A well-organized library saves time and reduces mistakes (like using outdated logos or off-brand images). IDEQO’s Library automatically categorizes your uploads to keep things tidy.

IDEQO’s Asset Library (/library) automatically organizes content into five main types:

  • Images — Photos, graphics, illustrations (JPG, PNG, GIF, WebP, SVG)
  • Videos — Clips, Reels, Stories (MP4, MOV, WEBM)
  • Audio — Music, podcasts, sound effects (MP3, WAV, OGG)
  • Documents — PDFs, presentations, text files (PDF, DOC, DOCX, TXT)
  • Other — Archives, fonts, and other assets
  1. Go to Library.
  2. Click the Upload button (top right) or simply drag and drop files directly onto the screen.
  3. Files are automatically sorted into the correct category (Images, Videos, etc.) based on their file type.

You can drag and drop multiple files at once. The system supports uploading up to 50 files simultaneously.

Tags help you find assets quickly using the search bar.

  1. Click on any asset to open the Media Details dialog.
  2. In the Tags section, type to search existing tags or create a new one.
  3. Press Enter to add the tag.

Recommended tags:

  • Campaign: Summer Sale, Q1 Launch
  • Product: Product A, Service B
  • Status: Approved, Draft
  • Platform: Instagram, LinkedIn

The Library toolbar offers powerful tools to find your content:

  • Search Bar: Type keywords to match file names and descriptions.
  • Filter Dropdown: Quickly toggle between Images, Videos, Documents, Audio, or All Types.
  • Favorites: Click the Favorites button to see only your starred items.
  • View Mode: Switch between Grid (visual) and List (detailed) views.

  • Permissions: Admins can manage and delete assets. Team members can upload and use assets.
  • Protection: Assets in use by Ideas, Social Posts, or Brand Kits cannot be deleted until they are removed from those items.
  1. Name Files Clearly: Rename files before uploading (e.g., product-launch-hero.jpg instead of IMG_1234.jpg). You can also rename them in the Media Details dialog.
  2. Use Favorites: Star your most-used assets (like logos or standard intros) for one-click access.
  3. Archive Old Content: Use the Archive feature (in bulk actions) to hide outdated assets without deleting them permanently.
