Invite Teammates and Set Roles

You’ll invite team members to IDEQO and assign appropriate roles and permissions so everyone can collaborate without stepping on each other’s toes.

Without clear roles:

  • Junior team members can accidentally delete scheduled posts
  • Too many cooks in the kitchen leads to inconsistent brand voice
  • You don’t know who’s responsible for what
  • Approval processes break down

Proper roles create structure, accountability, and safety.

IDEQO offers three permission levels:

Full control — Only one per workspace

  • Manage billing and subscription
  • Add/remove team members
  • Delete workspace
  • All Admin permissions

Best for: Workspace creator, business owner

Management access

  • Invite/remove team members (except Owner)
  • Manage integrations
  • Configure Brand Kit and settings
  • Create and delete content
  • Access analytics
  • Manage team permissions

Best for: Marketing managers, agency leads, team leads

Limited creation access

  • Create and edit content
  • Schedule posts
  • Upload assets
  • View analytics
  • Cannot manage team or integrations
  • Cannot delete workspace

Best for: Content creators, designers, copywriters, team members

Go to Team in the sidebar and click Invite Member.

  • Email address — Member’s work email
  • Role — Select Member or Admin

Click Send Invite.

The team member receives an email invitation. They click the link, create their password (if new to IDEQO), and join your workspace.

  2. Find the member
  3. Click the three dots next to their name
  4. Select Change Role
  5. Confirm the role change in the dialog

  4. Confirm

Instead of removing, you can change a member’s role to limit their access. Note that IDEQO uses a 3-role system, so you may need to remove and re-invite if you want to restrict access further.

Owner: Founder/CEO Admin: Marketing Manager Members: 2-3 content creators

Workflow: Members create and schedule freely. Admin reviews analytics and adjusts strategy.

Owner: CMO Admins: Marketing Manager, Social Media Manager Members: Content writers, designers, freelancers

Workflow: Members create content. Admins review, approve, and manage integrations.

Owner: Agency founder Admins: Account managers (one per client) Members: Copywriters, designers assigned to clients

Workflow: Members create for assigned clients. Admins approve and schedule. Owner manages overall strategy.

Start restrictive It’s easier to grant more permissions later than to fix mistakes from too much access.

Use Members for content creators Members can create and publish content, making them perfect for content creators, designers, and copywriters.

Limit Admin roles Too many admins = no clear ownership. Keep it to 1-3 people who need to manage integrations and team settings.

Review permissions quarterly As roles change, update permissions to match current responsibilities.

Scenario: Intern joins for 3 months Solution: Member role. They can create and publish content, but cannot manage team settings.

Scenario: Client wants to see planned content Solution: Consider creating a separate workspace or using sharing features. IDEQO’s 3-role system doesn’t include a view-only role, but Members have limited management permissions.

Scenario: Freelancer needs to upload images Solution: Member role. Members can upload assets and create content.

Scenario: Manager needs to approve all posts before publishing Solution: Use Admin role for managers. Set up approval workflows if available (see workflows documentation).
